Section 01

Scope & Who This Policy Applies To

This Custom & Personalized Order Policy ("Policy") is issued by HRV Enterprises INC LLC, doing business as MyGradStoles ("MyGradStoles," "we," "us," or "our"), and applies to every order placed through mygradstoles.com that includes any degree of personalization, customization, embroidery, DTF (direct-to-film) printing, name/date/text imprinting, crest or emblem addition, or made-to-order configuration.

This Policy works alongside — and does not replace — our Returns & Refund Policy, Shipping Policy, Privacy Policy, and Terms & Conditions. Where this Policy addresses customization specifically and another policy addresses the same topic in general terms, the more specific provision in this Policy governs for custom and personalized items.

Who this applies to

Individual students and families, faculty and staff placing personal orders, student organizations, Greek life chapters, honor societies, academic departments, and school or university administration offices ordering on behalf of a graduating class, all fall under this Policy whenever any personalization element is added to an order.

Section 02

Products We Personalize

MyGradStoles manufactures and distributes four product lines. Each carries a different level of customization, and this Policy applies in proportion to how much personalization is involved in your specific order.

Custom Graduation Stoles

Fully personalized stoles with embroidered or DTF-printed names, graduation years, school crests, Greek letters, honor cords placement, and color combinations. This is our most heavily customized product line and is the primary focus of this Policy. Shop Custom Graduation Stoles →

Religious Stoles

Baptism and choir stoles that may include personalized names, dates, ministry or church names, and religious symbols or text. Because these items often carry doctrinal or denominational significance, we take extra care confirming accuracy of religious text before production. Shop Religious Stoles →

Blank Graduation Stoles

Unadorned, ready-made stoles sold without embroidery, printing, or text. Blank stoles are stock merchandise, not made-to-order in the personalized sense, so the digital-proof, revision, and no-return-after-production sections of this Policy do not apply to plain blank stoles — our standard Returns & Refund Policy governs those instead. Shop-By-Color Stoles

All color-specific product pages (black, blue, gold, maroon, purple, and other colorways) are variations of the graduation, honor, or trim stole lines above. If you add any name, text, or emblem to a color-specific stole, the full customization terms of this Policy apply.

Section 03

The Digital Proof & Approval Process

No custom or personalized order goes to our production floor without your explicit, written approval of a digital mock-up. This is the single most important safeguard in our process, and it exists to protect you from receiving a stole that does not match what you asked for.

Order Placed

You submit your personalization details — names, graduation year, school, crest/logo file, color choices, and placement preferences — at checkout or through our design tool.

Digital Mock-Up Created Free of Charge

Our design team builds a proof showing exactly how your stole will look, including text, colors, and artwork placement, based on the information you provided.

Proof Sent for Your Review

We email the mock-up to the address on your order. Nothing is manufactured at this stage. Your order is paused pending your review.

You Approve, Request Changes, or Decline

Reply "Approved" to authorize production, request a revision (see Section 6), or contact us with concerns. Production begins only after you give written approval, by email or another confirmed channel.

Production Begins

Once approved, your design is locked in and enters our manufacturing queue. See Section 9 for what this means for changes and cancellations.

Approval is a binding instruction to manufacture

When you approve a digital proof, you are confirming that the spelling, dates, names, colors, and artwork shown are correct and exactly what you want produced. Approval cannot be reversed once production has started, except where Section 10 (Our Errors) applies.

All timeframes are business-day estimates (Monday–Friday, excluding U.S. federal holidays) and exclude shipping transit time. See Shipping Policy for delivery windows once your order leaves our facility.

Section 05

Your Responsibility for Spelling & Text Accuracy

Because every custom stole is built from the exact information and artwork you submit, the accuracy of names, dates, titles, school names, Greek letters, and any other text is the customer's responsibility to review and confirm at the digital proof stage.

What we ask you to check

  • Spelling of first, middle, and last names
  • Graduation year and any dates shown
  • School, department, or organization name
  • Color selections and text/embroidery placement
  • Orientation and legibility of uploaded crest or logo files

What MyGradStoles does

  • Reproduce, letter-for-letter, the text you submitted on your order
  • Flag obviously corrupted or low-resolution artwork before proofing
  • Send a legible, true-to-production digital proof for your review
  • Hold production until you provide written approval
Errors approved by the customer are not eligible for free correction

If a spelling error, incorrect date, or other mistake exists in the information the customer submitted and that same error appears, unchanged, in the digital proof the customer approved, MyGradStoles is not responsible for the resulting product. A reprint in that situation is treated as a new customer-requested order and is billable. This does not apply to errors we introduce ourselves — see Section 10.

Section 06

Revision Policy

We want your proof to be right before it ever reaches the production floor, so revisions are built into the standard process at no extra cost, within reasonable limits.

2 Free Revisions Included

Every custom order includes up to two rounds of free revisions to the digital proof — for example, fixing a spelling correction, adjusting text placement, or swapping a color.

Additional Revisions

Revision requests beyond the second round may incur a small design fee, which we will always disclose and confirm with you in writing before charging it.

Full Redesigns

A substantial change of concept (for example, switching from one color scheme and text layout to an entirely different design) is treated as a new design and may extend turnaround time.

Section 07

Rush Orders & Expedited Production

Graduation dates don't move, so when you're short on time, we offer a paid rush production option so your stoles are still ready in time for the ceremony.

  • Rush production reduces standard manufacturing time to approximately 2 business days after proof approval, subject to order volume and design complexity.
  • A rush production fee applies and will be shown and confirmed at checkout or quoted directly for bulk/institutional orders before you pay it.
  • Rush production shortens manufacturing time only — it does not change shipping transit time. Pair rush production with Express shipping if your deadline is tight.
  • Because rush orders are prioritized in our production queue immediately upon your approval, the free-revision window may be shortened — respond to your proof promptly to keep your rush timeline intact.
  • To request rush production, select the option at checkout or contact us directly — especially for bulk or institutional orders needed by a fixed ceremony date.

Section 08

24-Hour Cancellation Window

We believe in giving customers real breathing room to change their minds before any design or production work begins.

Full Refund Guarantee

You are eligible for a 100% refund of your order total if you cancel:

  • Within 24 hours of placing your order, and
  • Before we have sent you a digital proof for approval.

To cancel within this window, email contact@mygradstoles.com, call or text +1 (361) 228-4910, or use our live chat and reference your order number. Refunds are issued to your original payment method, typically within 5–10 business days depending on your bank or card issuer.

After 24 hours, or once a proof has been sent

Cancellation requests received after the 24-hour window, or after a digital proof has already been emailed to you (whichever happens first), are handled at MyGradStoles' discretion. Because design work may already be underway, a partial refund, store credit, or no refund may apply depending on how much work has been completed. We will always tell you plainly which of these applies to your specific order before finalizing a cancellation.

Section 09

Once Production Begins

Custom and personalized stoles are manufactured specifically for you, using the exact specifications you approved. This is standard practice across the personalized-goods industry, and it is why the approval step in Section 3 matters so much.

No cancellations, returns, or refunds once production has started

Once you have approved your digital proof and production has begun, the order can no longer be cancelled, returned, or refunded for reasons of personal preference or a change of mind, because the item has been manufactured to your specifications and cannot be resold to another customer. This limitation is standard for custom-made and personalized merchandise under U.S. and Canadian consumer protection law — see Sections 17 and 19 below.

The one exception: our mistake

If MyGradStoles makes an error — the finished stole does not match the digital proof you approved, the item is defective, damaged in manufacturing, or the wrong product/color was produced — you are fully covered. See Section 10 for how we make it right.

Section 10

Returns, Refunds & Correcting Our Errors

We stand behind our workmanship. If something goes wrong on our end, we will fix it — free of charge to you.

To report a manufacturing error or defect, contact us within 7 days of receiving your order with your order number and clear photos or video of the issue. Full details on our claims process, timelines, and exchanges are in our Returns & Refund Policy.

Section 11

Trademarks, School Crests, Greek Letters & Religious Symbols

Many custom stoles include a school name, crest, mascot, Greek organization letters, honor-society insignia, or religious imagery. These elements are often protected by trademark, copyright, or licensing rights that belong to someone else — typically the school, university, fraternity/sorority national organization, or religious body.

Customer Warranty

By submitting a crest, logo, mascot, Greek letters, or religious symbol for use on your stole, you confirm that you have the right to use that artwork — whether because it belongs to you, your school has authorized student orders bearing its marks, your chapter has permission from its national organization, or the design is otherwise free to use (public domain or generic, non-trademarked religious symbols).

Institutional & Bulk Orders

When a school, university, or organization places or authorizes a bulk order featuring its own official marks, we treat that institutional approval as sufficient authorization for that order. Individual students ordering independently, outside of an authorized bulk program, are responsible for confirming their school or chapter permits personalized merchandise bearing its marks.

We do not independently verify third-party trademark rights

MyGradStoles is a manufacturing and printing service. We do not act as a licensing authority and cannot independently verify every school's, chapter's, or organization's trademark permissions for every order. Responsibility for ensuring you have the right to reproduce a given mark rests with the customer submitting the design. We reserve the right to decline any order that appears to infringe a third party's trademark or copyright, or that we reasonably believe was submitted without proper authorization.

Religious stoles & denominational accuracy

For Baptism and Choir stoles that include Scripture references, liturgical text, or denomination-specific symbols, we reproduce exactly the wording and imagery you submit and approve. We recommend having your officiant, church office, or ministry leader review the proof for denominational accuracy before you approve it, since we manufacture to the text provided and are not positioned to verify theological or denominational correctness.

Section 12

Prohibited & Restricted Customization Content

To keep our marketplace safe, lawful, and welcoming for a diverse graduating community, we reserve the right to refuse, cancel, or modify any personalization request that includes the following, and to refund any amount already paid for a declined order:

  • Hate speech, or symbols, language, or imagery that demeans a person or group based on race, ethnicity, national origin, religion, gender, sexual orientation, disability, or age
  • Threats, incitement to violence, or content promoting self-harm
  • Sexually explicit content or obscenity
  • Counterfeit or unauthorized use of a trademarked logo, brand, or protected institutional mark (see Section 11)
  • Content promoting illegal activity, illegal substances, or regulated goods (such as firearms, weapons, or drug paraphernalia imagery)
  • Defamatory statements about an identifiable person or organization
  • Any content that violates applicable U.S. or Canadian federal, state, provincial, or local law
If we decline your design

If a submitted design falls into a restricted category, we will contact you before production to discuss an alternative or issue a full refund for that item. We do not charge for design work on an order we decline to produce.

Sample Products & Blank Stoles

Sample products and undecorated Blank Graduation Stoles are stock merchandise, not personalized to a specific customer, so they are covered by our standard Returns & Refund Policy rather than the custom-order rules in Sections 3–10 of this Policy.

Section 14

Pricing, Tax & Payment for Custom Orders

  • All prices are displayed in U.S. Dollars (USD) and are shown to you in full, including any applicable personalization fee, before you complete checkout.
  • Applicable state, provincial, or local sales tax is calculated at checkout based on your shipping address and is charged in accordance with applicable law.
  • Payment in full is generally collected at the time of order for custom items, since production is initiated specifically for you upon approval. Institutional and bulk orders may be invoiced or paid by purchase order — contact us to arrange this.
  • Rush fees, additional revision fees, and any other add-on charges are always disclosed and confirmed with you in writing before being charged — we do not add surprise fees after checkout.
  • We honor the lowest-price guarantee and bulk/wholesale pricing shown on our site at the time your order is placed.
Section 15

Shipping of Custom Orders

Custom orders ship once production is complete and quality-checked. We currently ship to the United States and Canada, and offer three shipping speeds: Express, Standard, and Economy, as detailed in our Shipping Policy.

Double-check your shipping address before approving your proof

Because custom stoles are manufactured specifically for your order, we cannot redirect, cancel, or re-route a shipment once it has left our facility, and we are not liable for delays or non-delivery caused by an incomplete, incorrect, or outdated address supplied by the customer. Please confirm your shipping address is correct at checkout and again when you approve your digital proof.

Section 16

Bulk & Institutional Orders

Schools, universities, honor societies, and student organizations ordering in bulk follow the same proof-and-approval process described above, with a few additional considerations designed for group orders. Visit our Bulk Order page to get started.

  • A single master proof is typically approved by the authorized ordering contact (school administrator, faculty advisor, or chapter officer) on behalf of the group, unless individually personalized names are involved, in which case each name is verified against the roster you provide.
  • We recommend submitting your name/roster list as a spreadsheet to reduce transcription errors, and reviewing it carefully — Section 5 (Accuracy) applies per name on rosters just as it does to individual orders.
  • Wholesale/bulk pricing tiers are applied automatically at checkout or quoted directly for larger institutional programs.
  • Purchase-order and net-terms payment arrangements are available for verified educational institutions — contact our team to set this up before ordering.
Section 17

Your Consumer Rights — United States

MyGradStoles is a U.S.-registered company, and this Policy is written to operate within, not around, the federal and state consumer protection framework that governs online retail in the United States.

This Federal Trade Commission rule requires sellers to ship orders within the time stated (or, if none is stated, within 30 days), and to notify customers and offer a refund option if a shipment will be delayed. Because our custom items are made to order, our stated production and shipping timeframes in Sections 4 and 15 — and in our Shipping Policy — reflect this requirement, and we will proactively notify you of any material delay to your order.
The FTC's Cooling-Off Rule (16 C.F.R. Part 429) gives buyers a 3-day right to cancel certain door-to-door and in-person sales made away from a seller's regular place of business. Because MyGradStoles sells exclusively online, this rule does not independently apply to our transactions. The 24-hour cancellation window described in Section 8 is a voluntary customer-service commitment we make to you — it is more generous in timing but distinct from, and not required by, the Cooling-Off Rule.
Every U.S. state's adoption of the Uniform Commercial Code (UCC Article 2) and its own Unfair or Deceptive Acts and Practices ("UDAP") statute recognizes that goods "specially manufactured" for a buyer, which are not suitable for sale to others in the ordinary course of the seller's business, are treated differently from off-the-shelf retail goods once production has begun. This is the legal basis for the no-return-after-production rule in Section 9. It does not, however, remove your right to a remedy if the goods are defective, not as described, or unfit for their ordinary purpose — those rights are always preserved under implied warranty law (see below) and Section 10 of this Policy.
Under the Magnuson-Moss Warranty Act (15 U.S.C. §§ 2301–2312) and state implied-warranty law, every stole we sell carries an implied warranty of merchantability — meaning it must be reasonably fit for ordinary use and match the description and mock-up you approved. This warranty exists regardless of anything else in this Policy and is the legal foundation of Section 10's coverage for manufacturing errors and defects.
Every state maintains a consumer protection statute prohibiting unfair, deceptive, or misleading business practices — false advertising, hidden fees, bait-and-switch pricing, and similar conduct. We design our pricing, proofing, and policy disclosures (Sections 3, 6, 7, and 14) specifically to give you complete, accurate information before you pay for anything. See the state-by-state reference table in Section 18.
HRV Enterprises INC LLC is registered and headquartered in Mount Prospect, Illinois. Our practices are designed to comply with the Illinois Consumer Fraud and Deceptive Business Practices Act (815 ILCS 505) in addition to the law of each customer's home state. Unless a mandatory consumer-protection law of your own state or province requires otherwise, matters relating to this Policy are interpreted under Illinois law, consistent with our Terms & Conditions.
Section 18

U.S. State-by-State Consumer Protection Reference

Every U.S. state and the District of Columbia has its own consumer protection ("UDAP") statute. These laws generally work alongside, not against, the custom-order terms in this Policy: they protect you against deceptive practices and defective goods, while recognizing that made-to-order items are not typically subject to buyer's-remorse returns once production begins. Section 19

Your Consumer Rights — Canada

Canadian customers are protected by a combination of federal law and the consumer protection statute of their own province or territory. We honor both.

Canada's federal Competition Act prohibits false or misleading advertising and deceptive marketing practices nationwide. Our pricing, proofing, and policy disclosures are designed to give Canadian customers complete and accurate information before purchase.
Proof, order-status, and shipping emails are transactional messages tied directly to an order you placed and are sent regardless of marketing consent, consistent with CASL. Any separate marketing or promotional emails to Canadian customers are sent only with appropriate consent and always include a working unsubscribe option, in line with CASL requirements. Each Canadian province and territory has its own consumer protection statute (see the table in Section 20). These laws generally require accurate disclosure of price, delivery timelines, and cancellation terms for internet/distance sales, and several explicitly recognize custom-made or special-order goods as an exception to general cancellation rights once the seller has begun performance — which is why the digital-proof approval step in Section 3 is the trigger point for production under this Policy for Canadian orders as well.
Québec's Consumer Protection Act (CQLR c. P-40.1) imposes specific requirements on distance contracts, including clear disclosure of total price, delivery date, and cancellation terms. Québec's Charter of the French Language additionally requires that commercial documentation offered to Québec consumers be available in French upon request. Québec customers may request key order documents, including this Policy, in French by contacting contact@mygradstoles.com.

Section 21

Limitation of Liability & Force Majeure

Our Commitment

Within the protections described in Sections 17–20, our liability for a custom order is limited to correcting a manufacturing error, replacing a defective item, or refunding the amount paid for that item — consistent with the remedies described in Section 10. We are not liable for indirect, incidental, or consequential damages (such as event costs or lost wages) arising from a delayed or imperfect custom order, except where such liability cannot be limited under applicable law.

Force Majeure

MyGradStoles is not responsible for delays caused by events beyond our reasonable control, including natural disasters, extreme weather, carrier disruptions, customs processing, material shortages, or labor disputes. If such an event materially delays your custom order, we will notify you and work with you on a revised timeline, rush option, or refund where appropriate.

Changes to This Policy

We may update this Policy from time to time to reflect changes in our production process, legal requirements, or business practices. The "Last Updated" date at the top of this page reflects the most recent revision. Material changes affecting orders already in progress will not be applied retroactively to reduce the protections you were offered at the time you placed your order.
