Section 01

Scope & How Cancellation Works

This Cancellation Policy ("Policy") is issued by HRV Enterprises INC LLC, doing business as MyGradStoles ("MyGradStoles," "we," "us," or "our"), and explains exactly when and how you can stop an order — Graduation Stole, Religious Stole, Custom Graduation Stole, or Blank Graduation Stole — before it becomes irreversible.

A cancellation is different from a return: a cancellation stops an order before it is manufactured and/or shipped, while a return deals with an item you already received. If your item has already shipped, please see our Returns, Refunds & Exchanges Policy instead. This Policy works alongside our Custom Order Policy, Shipping Policy, and Terms & Conditions; where this Policy addresses cancellation specifically, it governs over general statements in those other pages.

The one idea that explains this whole page

Every cancellation rule below comes down to a single question: has MyGradStoles already committed real labor, materials, or production capacity to your specific order? Before that point, cancelling costs us nothing, so we refund you in full. After that point, the item is being built specifically for you and generally can't be resold, so cancellation is limited — exactly as U.S. and Canadian law expects for made-to-order goods (see Sections 12 and 14).

Section 03

Cancelling Before Production Begins

The 24-Hour Full-Refund Window

You may cancel any order — custom, religious, or blank — for a 100% refund of your order total if you do so:

  • Within 24 hours of placing your order, and
  • Before we have sent you a digital proof (for personalized items) or begun packing your order (for stock items) — whichever applies to your order and comes first.

We chose 24 hours deliberately: it's long enough to give you real breathing room to change your mind, while realistic given that our design team often begins work on digital proofs the same day an order is placed. This window is a voluntary customer-service commitment — see Section 12 for why it is more generous than what U.S. federal law strictly requires.

After 24 hours, or once your proof has been sent

Requests received after the 24-hour window, or after your digital proof has already been emailed to you (whichever happens first), are handled at MyGradStoles' discretion. At this stage design work may already be underway even though production hasn't started, so a full refund, partial refund, store credit, or no refund may apply depending on how much work has been completed. We will always tell you plainly, before finalizing anything, which of these applies to your specific order — we never deduct an undisclosed amount.

Section 04

After Proof Approval & Production Begins: No Cancellation, No Refund

The moment you approve your digital proof is a binding instruction to manufacture. From that point forward, your stole is being cut, embroidered, or printed specifically to your approved specifications.

Production-started orders cannot be cancelled or refunded

Once you approve your proof and production has begun, the order cannot be cancelled, returned, or refunded for reasons of preference, timing, sizing regret, or a change of mind, because the item is manufactured to your specifications and cannot be resold to another customer. This is standard for custom-made and personalized merchandise under U.S. and Canadian consumer protection law — see Sections 12 and 14.

The one exception: our mistake

If MyGradStoles makes an error — the finished stole doesn't match your approved proof, arrives defective, or the wrong item is produced — you're fully covered under our Returns, Refunds & Exchanges Policy at no cost to you, regardless of how far production has progressed.

Because timing determines your refund outcome, request a cancellation the moment you decide you need one — don't wait.

What we ask you to include

Your order number, the name on the order, and whether you want to cancel the entire order or specific items only (see Section 7). We aim to confirm every cancellation request, and its outcome, within 1 business day.

Section 06

Cancelling Blank/Stock Orders After 24 Hours

Because Blank Graduation Stoles and sample products are not manufactured to order, they're treated more flexibly than custom items even outside the 24-hour window.

  • A blank/stock order can generally still be cancelled, free of charge, any time before it has been packed and handed to the carrier — contact us and we'll confirm your order's current status.
  • Once a stock order has shipped, it can no longer be "cancelled" — at that point our 30-day Returns, Refunds & Exchanges Policy applies instead.
  • If an order combines blank items with custom items, each item follows its own rule — see Section 7.
Section 07

Partial Cancellation of Multi-Item Orders

If your order contains more than one item, you don't have to cancel everything — each item in your cart is evaluated on its own eligibility, using the same rules as Sections 3, 4, and 6.

How Item-by-Item Cancellation Works

Example: you order one blank stole and one custom stole in the same cart. If you request a cancellation on day 2 after your custom proof was already approved, we can still cancel the blank stole (Section 6) even though the custom stole is now locked in under Section 4. We'll confirm exactly which items are and aren't cancellable before processing anything.

Free Shipping Threshold & Discounts

Orders of $99 or more qualify for free shipping, and some discount codes require a minimum order value. If cancelling part of your order drops the remaining total below one of these thresholds, we'll tell you the adjusted shipping cost or discount impact before finalizing your partial cancellation — never as a silent deduction from your refund afterward.

Removing a name from a bulk roster

For bulk/institutional orders, removing one or more names from a roster before the master proof is approved is treated as a free revision, not a cancellation. Removing a name after the master proof is approved is treated as a partial, production-started cancellation for that name only, and Section 8's deposit rules apply to it.

Section 08

Bulk & Institutional Orders — Deposits & Forfeiture Rules

Schools, universities, honor societies, and student organizations placing group orders through our Bulk Order program, especially those paying by purchase order or invoice, are typically asked for a deposit before we begin design work. Here's exactly how that deposit is protected — and when it isn't fully refundable.

Deposit Collected & Disclosed

The deposit amount or percentage, and payment terms, are stated in writing on your quote or invoice before you pay anything — we never collect a deposit without disclosing these terms first.

Fully Refundable — Before Master Proof Approval 100% Back

If your institution cancels at any point before the authorized ordering contact approves the master proof or roster, your entire deposit is refunded — this mirrors the individual-order rule in Section 3.

Partially Forfeited — After Approval, Before Full Production

Once the master proof is approved and design/setup work begins (die templates, embroidery digitizing, roster verification), the portion of your deposit that corresponds to work and materials already committed is non-refundable. Any remaining deposit balance beyond that actual, documented cost is refunded back to you.

Fully Forfeited Only if Full Production Is Complete

If the entire bulk run has already been produced before a cancellation request, the deposit (and, where full payment was already collected, the corresponding production cost) is not refundable, consistent with Section 4's rule for individual custom orders.

Forfeiture is tied to real costs, not a penalty

Any portion of a deposit we keep after a bulk cancellation reflects labor, materials, and production capacity we've genuinely already committed to your order — it is not a punitive fee. On request, we will provide your institution's authorized contact with a written breakdown of how a forfeited amount was calculated. This approach is designed to hold up as a reasonable pre-estimate of our loss rather than an unenforceable penalty under the Uniform Commercial Code (UCC § 2-718) and equivalent Canadian sale-of-goods principles.

Section 09

Rush Orders & the Cancellation Window

Choosing rush production doesn't change your 24-hour cancellation right, but it does shrink the practical amount of time you have to use it.

  • Rush orders are prioritized in our design queue immediately, so your digital proof — and therefore the end of your free-cancellation window — may arrive well before the full 24 hours have passed.
  • The rush production fee itself is refundable under the same rules as the rest of your order: full refund in the green zone (Section 3), discretionary afterward, non-refundable once production begins (Section 4).
  • If your ceremony date is close and you're unsure whether to commit, contact us before ordering — we'd rather talk through timing with you than have you order and immediately need to cancel.
Section 10

Refund Method & Timing

  • Cancellation refunds are always issued to your original payment method — never forced onto a store credit or gift card unless you ask for that instead.
  • We issue the refund within 2–4 business days of confirming your cancellation.
  • From there, your bank or card issuer typically takes another 3–7 business days to post it — roughly 5–10 business days total is typical.
  • Bulk/institutional refunds paid by purchase order or ACH/wire are credited or refunded using the same method the payment was received through, and may take a few additional business days depending on your institution's finance office.
  • You'll receive a written confirmation email showing the exact amount refunded and, for partial cancellations, an itemized breakdown.
Section 11

Cancellations Initiated by MyGradStoles

On rare occasions, we may need to cancel an order ourselves. When that happens, you are always refunded in full for the cancelled portion.

  • A submitted design falls into a prohibited or restricted content category under our Custom Order Policy (hate speech, counterfeit trademarks, illegal content, and similar) and we're unable to agree on an alternative.
  • We reasonably suspect fraud, a payment dispute, or an unauthorized use of a payment method.
  • A material shortage, discontinued fabric/color, or another circumstance genuinely prevents us from fulfilling your order as described.

In every case above, we will notify you by email explaining why, and issue a full refund for the affected items — we never charge a customer for design or production work on an order we cancel ourselves.

Section 12

Your Consumer Rights — United States

MyGradStoles is a U.S.-registered company, and this Policy is written to operate within the federal and state consumer protection framework governing order cancellations — not around it.

This FTC rule requires that if we cannot ship your order within the time stated, we notify you and offer you the option to cancel for a full refund rather than wait indefinitely. If a material delay affects your order, we will proactively reach out with this option before you have to ask.
The FTC's Cooling-Off Rule (16 C.F.R. Part 429) gives buyers a 3-day right to cancel certain door-to-door and in-person sales made away from a seller's regular place of business. Because MyGradStoles sells exclusively online, this rule does not independently apply to our transactions. The 24-hour cancellation window in Section 3 is a voluntary commitment we make to you — more generous in spirit, but legally distinct from, the Cooling-Off Rule.
Every U.S. state's adoption of the Uniform Commercial Code (UCC Article 2) recognizes that goods "specially manufactured" for a buyer, not suitable for resale to others in the ordinary course of the seller's business, are treated differently from stock retail goods once production has begun — the legal basis for Section 4. UCC § 2-718 also permits sellers to retain a reasonable deposit reflecting actual costs incurred on a cancelled custom order, which is the basis for Section 8's bulk-deposit rules; it does not permit retaining amounts that operate as an unreasonable penalty.
Every state maintains a consumer protection statute prohibiting unfair, deceptive, or misleading practices — including deceptive cancellation or "no refund" claims and undisclosed deposit-forfeiture terms. We design this Policy and our checkout, quote, and invoice disclosures specifically to give you complete, accurate cancellation terms before you pay for anything. See the state-by-state reference table in Section 13.
HRV Enterprises INC LLC is registered and headquartered in Mount Prospect, Illinois. Our practices are designed to comply with the Illinois Consumer Fraud and Deceptive Business Practices Act (815 ILCS 505) in addition to the law of each customer's home state. Unless a mandatory consumer-protection law of your own state or province requires otherwise, matters relating to this Policy are interpreted under Illinois law, consistent with our Terms & Conditions.

Section 14

Your Consumer Rights — Canada

Canadian customers are protected by a combination of federal law and the consumer protection statute of their own province or territory, and we honor both for cancellations and deposits.

Canada's federal Competition Act prohibits false or misleading advertising and deceptive marketing practices nationwide, including misleading cancellation or deposit terms. This Policy states our real cancellation and deposit terms in full before you order or pay a deposit.
Each Canadian province and territory has its own consumer protection statute (see the table in Section 15). These laws generally require clear, advance disclosure of cancellation rights and deposit terms for internet/distance and "future performance" sales, and several explicitly except custom-made or special-order goods from general cancellation rights once production has begun — consistent with Section 4 above.
Provincial sale-of-goods and consumer protection legislation generally permits a seller to retain a reasonable portion of a deposit that reflects real costs incurred on a special-order cancellation, mirroring the UCC principle described in Section 12 for U.S. orders. Section 8's bulk-deposit rules are designed to satisfy this "reasonable pre-estimate of loss" standard for Canadian institutional customers as well.
Québec's Consumer Protection Act (CQLR c. P-40.1) imposes specific disclosure requirements on distance contracts, including clear cancellation and deposit terms. Québec's Charter of the French Language additionally requires that commercial documentation offered to Québec consumers be available in French upon request. Québec customers may request this Policy in French by contacting contact@mygradstoles.com.

Limitation of Liability & Force Majeure

Our Commitment

Within the protections described in Sections 12–15, our liability in connection with a cancellation is limited to processing the refund (or partial refund) to which you're entitled under this Policy. We are not liable for indirect, incidental, or consequential damages (such as event costs or lost wages) arising from a cancellation request being declined once production has begun, except where such liability cannot be limited under applicable law.

Force Majeure

MyGradStoles is not responsible for cancellation-processing or refund delays caused by events beyond our reasonable control, including natural disasters, extreme weather, carrier disruptions, customs processing, material shortages, or labor disputes. If such an event affects your cancellation request, we will notify you and keep you updated on a revised timeline.

Changes to This Policy

We may update this Policy from time to time to reflect changes in our operations, legal requirements, or business practices. The "Last Updated" date at the top of this page reflects the most recent revision. Material changes will not be applied retroactively to reduce the cancellation protections you were offered at the time you placed your order or paid a deposit.
