Your Uploads, Explained

A dedicated section on what happens to the names, photos, and logos you submit for custom stoles.

Section 01

Scope & Who We Are

This Privacy Policy explains how HRV Enterprises INC LLC, doing business as MyGradStoles ("MyGradStoles," "we," "us," or "our"), collects, uses, shares, and protects personal information when you visit mygradstoles.com, browse our Graduation Stoles, Religious Stoles, Custom Graduation Stoles, or Blank Graduation Stoles, place an order, or contact our team.

HRV Enterprises INC LLC is registered in Mount Prospect, Illinois, United States, and manufactures its products at a facility in India, shipping exclusively to customers in the United States and Canada. This Policy applies to all visitors and customers regardless of location, with jurisdiction-specific rights detailed in Sections 12–15.

How this Policy relates to our other policies

This Privacy Policy should be read together with our Cookie Policy (for browser-based tracking specifics), Terms & Conditions, and Copyright & Trademark Policy (for how uploaded custom-order content is licensed and used).

Section 02

Information We Collect

Identifiers & Contact Info

Name, shipping and billing address, email address, and phone number, collected when you place an order, create an account, contact us, or sign up for updates.

Payment Information

Our checkout is processed through our payment gateway integrated with WooCommerce; card numbers and full payment credentials are handled directly by our payment processor and are not stored on our own servers.

Order & Custom Design Details

Product selections, sizing, color choices, graduation year, school/organization name, and any names, text, logos, crests, or images you submit for personalization — see Section 3 for details specific to this category.

Communications

The content of emails, live chat transcripts, and phone/text conversations you have with our support team, kept to help resolve your inquiry and for quality/training purposes.

Device & Usage Data

IP address, browser type, device type, pages viewed, and referring URLs, collected automatically through cookies and similar technologies described in our Cookie Policy (Section 5).

Bulk/Institutional Order Rosters

Where a school, chapter, or organization submits a name roster for a bulk order, we collect the student names and any details included on that roster solely to fulfill the order (see our Custom & Personalized Order Policy).

Section 03

Your Custom Order Uploads

Custom Graduation Stoles and Religious Stoles often include personal details — a name, graduation year, or in some cases a photo used as design inspiration — along with school crests, Greek letters, or religious artwork you submit.

  • We use this content solely to create your digital proof and manufacture your order, consistent with the license you grant us under our Copyright & Trademark Policy.
  • Uploaded files are accessible to the design and production staff involved in fulfilling your specific order, and to our hosting/file-storage provider as a processor, not for independent use.
  • We do not use your submitted names, photos, or artwork in our own marketing without your separate, specific permission (for example, if you choose to share a review photo with us).
  • Retention of design files is addressed in Section 8.
Section 04

How We Use Your Information

  • Process, manufacture, and ship your order, including generating and sending your digital proof
  • Communicate with you about order status, shipping, customs, and support requests
  • Process payments and prevent fraud
  • Improve our website, product pages, and customer experience using aggregate analytics
  • Send marketing emails or texts where you've opted in, and measure and improve our advertising (Sections 5–6)
  • Comply with tax, customs, consumer-protection, and other legal obligations in the U.S. and Canada
Section 05

Cookies & Tracking Technologies

We use essential, functional, analytics, and advertising cookies as described in detail in our dedicated Cookie Policy, including a working preference center where you can accept, reject, or fine-tune each category. In short: we use Google Analytics to measure site traffic, Google Ads and Meta Pixel to measure and improve our advertising, and functional cookies to keep your cart and live chat working.

See our full Cookie Policy for details

Named cookies, exact retention periods, browser opt-out instructions, and Global Privacy Control support are documented in full in our separate Cookie Policy, linked from the footer of every page.

Section 06

Who We Share Information With

We do not sell your personal information

MyGradStoles does not sell personal information to data brokers or other third parties for their own independent marketing purposes. We share information only with the categories of service providers below, each acting on our behalf to fulfill your order or run our business.

If HRV Enterprises INC LLC is ever involved in a merger, acquisition, or sale of assets, customer information may be transferred as part of that transaction, subject to the same or equivalent privacy protections.

Section 07

International Transfer of Data — Manufacturing in India

Your order details are processed in India to be manufactured

Because MyGradStoles' production facility is located in India, the order details, personalization content, and shipping information necessary to manufacture and ship your stole — such as your name, address, and design specifications — are transferred to and processed by our team in India. This transfer happens for every order, including Blank Graduation Stoles that still require a shipping label and customs documentation.

We take reasonable contractual and technical measures to protect information transferred to our India facility, and limit access to what's needed to manufacture and ship your specific order. Because India has not been recognized as providing an equivalent level of data protection under some frameworks, if you are located in a jurisdiction that requires a specific transfer mechanism for cross-border data transfers, please contact us at contact@mygradstoles.com for more information about the safeguards in place for your order.

Section 08

How Long We Keep Your Data

Order Records

Kept for as long as needed to fulfill your order, handle warranty/returns claims, and meet tax and accounting record-keeping requirements under applicable U.S. and Canadian law (generally several years).

Custom Design Files

Kept for a limited period after order completion to support warranty claims or reorders, then routinely deleted from active systems unless you ask us to retain them longer for a future order.

Marketing Contacts

Kept until you unsubscribe or opt out, or until a period of inactivity after which we remove inactive contacts from active marketing lists.

Section 09

How We Protect Your Data

We use HTTPS encryption for data in transit, rely on our payment processor's PCI-DSS-compliant infrastructure so full card numbers never touch our own servers, and restrict internal access to personal information to staff who need it to do their jobs. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security, but we work to apply reasonable, industry-standard safeguards and update them as our platform evolves.

If we become aware of a data breach affecting your personal information, we will notify you and applicable regulators as required under U.S. state breach-notification laws and Canadian federal/provincial law (including PIPEDA's mandatory breach reporting requirements).

Section 10

Marketing Emails & Texts

We send order and shipping confirmation emails to every customer as a transactional part of fulfilling your order — these are not optional marketing and are sent regardless of marketing consent.

  • Promotional emails (sales, new product announcements) are sent only if you opt in, and every email includes a working unsubscribe link, consistent with the U.S. CAN-SPAM Act and Canada's Anti-Spam Legislation (CASL).
  • Promotional text messages, if offered, require separate opt-in consent and can be stopped by replying STOP.
  • You can update your email preferences at any time via the unsubscribe link, or by contacting contact@mygradstoles.com.
Section 11

Your Privacy Rights & Choices

Regardless of where you live, you can exercise the following choices by contacting contact@mygradstoles.com. Residents of certain U.S. states and Canada have additional legally guaranteed rights detailed in Sections 12–15.

Access your data Correct inaccurate data Delete your data Opt out of marketing Opt out of targeted ads Non-discrimination for exercising rights

We will verify your identity before fulfilling access, correction, or deletion requests (typically by confirming order details tied to your account or email) and will respond within the timeframe required by applicable law. We will not charge a fee for a reasonable request, and will not discriminate against you — for example, by denying service or charging a different price — for exercising any of these rights, subject to limited exceptions permitted by law (for example, we may need certain order data to process a warranty claim).

Section 12

U.S. Federal & State Privacy Rights

Section 5 of the FTC Act prohibits deceptive statements about data practices nationwide. This Policy is written and maintained to describe our actual practices, rather than generic, unedited template language.
California residents may request access to, correction of, or deletion of their personal information; opt out of "sale" or "sharing" (including cross-context behavioral advertising cookies); and limit use of sensitive personal information. We do not knowingly sell or share personal information of consumers under 16 without opt-in consent. Submit requests to contact@mygradstoles.com; we will not discriminate against you for exercising these rights.
As of 2026, twenty states have comprehensive consumer privacy laws granting rights to access, correct, delete personal information, and opt out of targeted advertising and the sale of personal information — see the searchable table in Section 13 for your state's specific law.
HRV Enterprises INC LLC is registered and headquartered in Mount Prospect, Illinois. Our data practices are designed to comply with the Illinois Consumer Fraud and Deceptive Business Practices Act (815 ILCS 505) and the Illinois Personal Information Protection Act, in addition to the law of each customer's home state.
Section 13

U.S. State-by-State Privacy Rights Reference

If your state isn't listed below as having a comprehensive privacy law, general FTC and state UDAP protections against deceptive data practices still apply, and the access/correction/deletion rights in Section 11 remain available to you as a matter of our own policy.

Section 14

Canadian Privacy Rights

The Personal Information Protection and Electronic Documents Act gives Canadians the right to know why we collect their information, to access and correct it, to withdraw consent (subject to legal or contractual restrictions), and to file a complaint with the Office of the Privacy Commissioner of Canada if unsatisfied with our response.
Transactional emails tied to your order are sent regardless of marketing consent. Marketing emails to Canadian addresses are sent only with appropriate consent and always include a working unsubscribe mechanism, consistent with CASL.
Québec's Law 25 (CQLR c. P-39.1) imposes some of the strictest consent and transparency requirements in Canada, including the right to data portability and a right to request that automated decision-making be explained. Québec residents may also request this Policy in French by contacting contact@mygradstoles.com.

Section 16

Children's Privacy

MyGradStoles' products are purchased primarily by parents, adult students, and schools, and our site is not directed at children. We do not knowingly collect personal information from children under 13 (or under 16 for CPRA's opt-in requirement on sale/sharing) without appropriate parental consent, consistent with the Children's Online Privacy Protection Act (COPPA) and PIPEDA.

Where a school or organization submits a roster including student names for a bulk order (Section 2), that information is provided to us by the authorized adult ordering contact for the limited purpose of manufacturing the order, not collected directly from the child.

Section 17

Do Not Track & Global Privacy Control

Where required by applicable state law, we honor the Global Privacy Control (GPC) browser signal as a valid opt-out of targeted advertising and the sale/sharing of personal information for that browser. Full technical detail on GPC and legacy "Do Not Track" handling is in our Cookie Policy.

Section 18

Third-Party Links

Our site links to our own Facebook, Instagram, and YouTube pages, and occasionally to third-party resources. Once you leave mygradstoles.com, that third party's own privacy policy governs — we encourage you to review it.

Changes to This Policy

We review this Privacy Policy whenever we adopt a new tool that processes personal information, and at least annually otherwise. The "Last Updated" date at the top of this page reflects the most recent revision. If a change materially expands how we use your information, we will provide reasonable notice, such as a banner on our site or an email, before it takes effect.
